Quick verdict

1 to 5 techs: Housecall Pro ($79/mo Basic, $189/mo Essentials with 5 users; $59 and $149 billed annually) or Jobber. 6 to 20 techs, flat pricing: Service Fusion ($245 to $627/mo, unlimited users). Multi-truck companies with a call center, memberships and payroll: get quotes from ServiceTitan and FieldEdge. Both are quote-based, so we cannot give you a price.

Four of the nine tools we cover here, ServiceTitan, FieldEdge, Workiz and FieldPulse, do not publish prices. We label them "quote-based".

What HVAC businesses should weigh

HVAC is a service-call and install business, so the features that matter differ from a lawn or cleaning route:

1 to 5 technicians

Housecall Pro is the usual starting point, with published prices and a 14-day trial without a credit card. Basic ($79/mo, 1 user) has scheduling and dispatch, estimates and invoicing, online booking, price book and job costing. Essentials ($189/mo, 5 users) adds routes, flat-rate pricing, checklists, GPS tracking, commissions and QuickBooks Online sync. Housecall Pro pricing

Jobber is cheaper at 1 user ($49/mo, $29 on annual billing) but lists no flat-rate pricebook. It is better for quoting and follow-up than for dispatching a service-call board. Workiz is aimed at HVAC, plumbing and electrical shops with phone and lead tools, but quotes its prices and has a 7-day trial. Kickserv is a low-cost option at $60/mo for 5 users with a 30-day trial.

6 to 20 technicians

This is where per-user plans get expensive. Housecall Pro Max is $329/mo for 8 users plus $35/mo per extra. Service Fusion has unlimited users on every plan: Starter $245, Plus $382 and Pro $627 per month on monthly billing ($208, $325, $533 annual). It integrates with QuickBooks Online and Desktop and lists HVAC and refrigeration first among its industries. Check which features are add-ons: Starter lists job costing, inventory and photo uploads as add-ons. Service Fusion pricing See our Housecall Pro vs Service Fusion guide for a headcount table.

FieldEdge is aimed at HVAC, plumbing and electrical. It has Select, Premier and Elite tiers, lists dispatching, a flat-rate pricebook, service agreements, QuickBooks Online and Desktop integration and integrated payments, and states it offers no free trial. Prices are quote-based. FieldEdge pricing

20+ technicians and multi-location

ServiceTitan lists dispatching, scheduling, call booking, pricebook, mobile estimates, payroll management, advanced reporting, commission tracking and customizable memberships in all three packages. Pricing is per technician and quoted after a demo. ServiceTitan pricing Compare it with FieldEdge and Service Fusion on the same list of requirements, and ask each for written pricing, including implementation and training. Our Jobber vs ServiceTitan and Housecall Pro vs ServiceTitan pages help frame the questions.

Where QuoteIQ fits, and where it doesn't

QuoteIQ lists HVAC among its industries, and its Essentials plan is $29.99/mo for 1 user. It has recurring jobs and billing, a price book, estimates with options, scheduling and online payments, and QuickBooks Online from Pro. We did not find a flat-rate pricebook or service-agreement feature named on its pricing page, so a company that depends on those will probably be better served by Housecall Pro, FieldEdge or ServiceTitan. A solo HVAC installer who mostly quotes jobs might reasonably try QuoteIQ's 14-day trial; we earn a commission if you do, so weigh our recommendation accordingly.

A short checklist before you buy

  1. Ask for the price at your headcount for the next 12 months, including seasonal hires.
  2. Ask whether flat-rate pricing, memberships and call tracking are in the plan or add-ons.
  3. Run a real call through the trial: book, dispatch, quote good-better-best, collect payment, invoice.
  4. Confirm your accounting setup (QuickBooks Online vs Desktop).
  5. Read the cancellation and renewal terms, and the data export steps.

Frequently asked questions

What is the best HVAC software for a small company?
For 1 to 5 techs, Housecall Pro is a common choice with published prices from $79/mo ($59 billed annually) and a 14-day no-card trial. For more technicians, Service Fusion's flat plans with unlimited users start at $245/mo. For larger companies, ServiceTitan and FieldEdge are quote-based.
How much does ServiceTitan cost for HVAC?
ServiceTitan does not publish prices. Its pricing page says pricing is per technician and you request a quote. We do not publish estimates.
Is there free HVAC software?
We did not find a free plan from the major HVAC platforms. ServiceM8 has a free plan for 30 jobs per month, and Housecall Pro, Jobber, Workiz and others offer free trials.
Which HVAC software works with QuickBooks Desktop?
Service Fusion and FieldEdge say they integrate with QuickBooks Desktop as well as Online. Kickserv lists QuickBooks Desktop integration as a $50/mo add-on.
Does Housecall Pro have flat-rate pricing?
Yes. Housecall Pro lists flat-rate pricing from the Essentials plan ($189/mo monthly or $149/mo billed annually for 5 users).
What is the cheapest software for a one-man HVAC business?
Among published prices, ServiceM8's free plan, QuoteIQ Essentials ($29.99/mo), Jobber Core ($29/mo billed annually, $49 monthly) and Kickserv ($60/mo for 5 users) are the lowest. Check that a cheap plan includes a pricebook and dispatching, not just invoices.
